Forward Actions

Forward Actions create unique email addresses for specific tasks. Forward an email to one, and Toffu handles it based on your instructions - like cc'ing a teammate who knows exactly what to do with it.

How it works

  1. Create a forward action. Give it a name and instructions.
  2. Get a unique email address. Each forward action has its own @toffu.ai address.
  3. Forward emails to it. Toffu reads the content and executes your instructions.

Creating a forward action

Go to Forward Actions in the sidebar and click New Forward Action.

  • Name: A descriptive name (e.g., "Summarize competitor emails")
  • Instructions: What Toffu should do with forwarded emails
  • External senders: Company members can always forward. Add external emails here if needed.

Example instructions

Analyze attachments

Analyze the attached Excel file:
- Summary of what data it contains
- Key metrics or totals
- Any anomalies or outliers
- Top 5 insights

If multiple sheets, summarize each separately.

Extract leads from inquiries

Extract from this inquiry:
- Contact name
- Company name
- Email address
- Phone number (if provided)
- What they're interested in
- Budget and timeline (if mentioned)

Format as a clean list.

Create tasks from emails

Create a task list from this email. For each task include:
- Description
- Assigned to (if mentioned)
- Due date (if mentioned)
- Priority (high/medium/low)

Analyze competitor newsletters

Analyze this competitor newsletter:
- Main topics covered
- Product announcements
- Pricing or offer changes
- New messaging or positioning

Summarize in bullet points and send to my Slack.

Tips

Be specific about output format.

Bad: Analyze this email
Good: Extract action items as a checklist with responsible person and deadline. Put urgent items first.

Include context. The forward action only sees the email content.

Good: This is a sales inquiry for our enterprise plan (unlimited users, priority support, custom integrations). Draft a response offering a demo call.

Handle edge cases.

Good: If this is a newsletter or marketing email, reply with "Marketing email - no action needed".
