The goal isn't to ask less of Toffu - it's to ask clearly so Toffu delivers exactly what you need. # Shared Credits Across Companies If you own more than one company, you can point one company at another for billing. The linked company then draws from the billing company's plan and credits instead of its own. ## Requirements - You must own both companies. - The billing company must have an active paid subscription on a plan that allows multiple companies. ## Steps 1. Open the company you want to be billed by another company. 2. Go to **Billing** in the sidebar. 3. In the **Billing Company** card, pick the company you want to bill from. 4. Click **Save Billing Company**. The linked company will use the billing company's subscription, credits, and auto-recharge settings. To undo, set the selection back to **None (Clear Selection)** and save. --- # Companies A **company** is the container for everything Toffu does for one business: its knowledge, memory, library, integrations, scheduled tasks, team members, and credits. One company = one business or one client. ## What lives inside a company Each company has its own: - **Knowledge** (brand info, documents, URLs) - **Memory** (what Toffu has learned about the business) - **Library** (docs, sheets, and assets Toffu created) - **Integrations** (Google Ads, Meta, LinkedIn, Google Analytics, etc.) - **Scheduled tasks** - **Team members and roles** - **Credits and billing** Nothing is shared between companies. If you switch companies, you switch contexts entirely. ## Your first company Your first company is created automatically when you sign up, using the website URL you provide. There is nothing extra to set up. ## Adding another company Use this if you manage more than one business (for example, an agency with multiple clients, or a brand with multiple distinct ventures). 1. Click the **company switcher** in the top-right corner. 2. Click **Add Company**. 3. Enter the new company's name and website URL. 4. Click **Continue**. > **Plan requirement:** Adding a second company requires the **Scale plan or higher**. Free and Business plans include one company only. Toffu reloads with that company's knowledge, integrations, and chats. ## Editing a company 1. Open the company switcher. 2. Click the **pencil icon** next to the company. 3. Update the company name or website URL. 4. Click **Save**. ## Deleting a company 1. Open the company switcher. 2. Click the pencil icon next to the company. 3. Click **Delete**, then confirm. If the company has an active subscription, you'll be asked to cancel the subscription first. ## Agencies: managing client companies If you run an agency, the **Agency plan** is built for you. It gives you: - Unlimited client companies - Unlimited team members - Consolidated billing across all clients - White-label reports - Separate companies per client (so each client's data, integrations, and credits stay isolated) Contact us through the [pricing page](/pricing) to set up an Agency plan. ## Common questions **Can I share knowledge or memory between companies?** No. Each company is fully isolated. If you want Toffu to know the same brand details across two companies, you have to add them in both. **Can I share credits across companies instead of buying them separately?** Yes. You can pick one company to be the **billing company** for the others you own, so they all draw from the same subscription and credit pool. See [Shared Credits Across Companies](/academy/shared-credits). **Can I move a chat from one company to another?** No. Chats belong to the company they were created in. **Can I add another company on the Free or Business plan?** No. You'll be prompted to upgrade to Scale or higher. # Inviting Team Members You can invite people to collaborate inside a company. Each invited member gets their own login, sees the company's chats, and uses the company's shared knowledge, integrations, and credits. ## Inviting a member 1. Click your **profile avatar** in the top-right corner. 2. Click **Invite Members**. 3. Type or paste one or more email addresses (separated by spaces, commas, or new lines). 4. Choose a **role**: Member or Admin. 5. Click **Invite Members**. The invited people receive an email with a sign-up link. Once they accept, they appear in the members list. ## Roles Toffu has three roles inside a company: | Role | Can do | |--------|-----------------------------------------------------------------------------------------| | Owner | Everything. Manages billing, invites, removes anyone, deletes the company. There is exactly one Owner per company - the person who created it. The Owner cannot be removed. | | Admin | Invites and removes members, changes roles, manages integrations and knowledge. Cannot delete the company or change billing. | | Member | Uses the company: chats, runs tasks, uses integrations and knowledge. Cannot invite or remove anyone. | Only the Owner and Admins can invite, remove, or change roles. ## Member limits per plan How many people you can invite depends on your plan: | Plan | Members | |------------|--------------| | Free | 1 (you) | | Business | 1 (you) | | Scale | Up to 3 | | Growth | Up to 5 | | Agency | Unlimited | | Enterprise | Unlimited | If you try to invite past your limit, you'll be prompted to upgrade. ## Changing a member's role 1. Open **Invite Members** from your profile menu. 2. Find the member in the list. 3. Use the role dropdown next to their name to switch between **Member** and **Admin**. ## Removing a member 1. Open **Invite Members**. 2. Find the member in the list. 3. Click the **trash icon** and confirm. The Owner cannot be removed. To transfer ownership, contact support@toffu.ai. ## Teams (optional, for larger companies) Inside a company you can also create **Teams** - smaller groups for organizing work (for example, "SEO Team" or "Paid Ads Team"). Teams are optional and only useful when many people share the same company. A team has its own roles: - **Lead** - manages the team's members - **Member** - belongs to the team To create a team, go to **Teams** in the sidebar and click **Create Team**. To add people to a team, open the team and use **Add Members** (you can only add people who are already members of the company). ## Common questions **Do invited members each need their own credits?** No. Credits are per company, not per user. Every member shares the same credit pool. **Can a member belong to more than one company?** Yes. Someone can be invited to multiple companies and switch between them using the company switcher in the top-right. **What happens to a member's chats when they're removed?** Chats remain in the company. Removing a member only revokes their access. **How do I get the Owner role transferred to someone else?** Email support@toffu.ai. --- # Library - Your Created Assets When Toffu executes workflows using your connected tools, all created assets are automatically stored in your Library. ## What gets stored - **Google Docs** - Competitive analysis reports, content strategies, campaign plans - **Google Sheets** - Prospect lists with research, content calendars with SEO data, performance tracking - **Images** - Social media graphics, charts from analytics data, design elements ## How it works 1. The UI needs separate clicks for each. - Toffu writes the skill text for you. You describe the rule, it produces the wording. - Skills you build while chatting capture how you actually work, not what you remembered to write down on a blank form. - Bulk operations ("delete every skill that mentions X", "move all my marketing skills to the agency") are one sentence, not 20 clicks. ## What is a Skill? A skill is a named block of expertise. Each skill has: - **Name** - a short identifier - **Description** - one line explaining when it applies - **Content** - the actual rule or knowledge - **Scope** - who can use it (see below) Toffu reads the description across every conversation. When it looks relevant, Toffu loads the full content automatically. You do not have to mention or trigger a skill for it to apply. ## Skill Examples Skills are usually a few sentences to a few paragraphs. Pick the easier one. ### Option A — one-tap connect (recommended) 1. Open [**Integrations**](https://toffu.ai/integrations) (or the [WhatsApp connect page](https://toffu.ai/connect-whatsapp)). 2. Click **Connect WhatsApp**. Toffu generates a one-time code and opens WhatsApp pre-filled with a message that looks like: > `Hey Toffu! My code is: A7UFMG` 3. Send the message from the phone you want linked. The link is done as soon as Toffu receives it. The code expires in 15 minutes. If you wait too long, click **Connect WhatsApp** again to get a fresh one. ### Option B — enter your phone first If your phone is already saved on your Toffu profile, you can skip the code: 1. Open **Settings** → user preferences modal. 2. Type your full number into the WhatsApp field (e.g. `+15551234567`). Save. 3. Click **Message Toffu**. WhatsApp opens with `Hey Toffu!` prefilled. Send it. Toffu replies. You're connected. ## The 24-hour rule WhatsApp's business policy: Toffu can only send free-form messages within 24 hours of your last message to it. - **Inside the window** (you messaged Toffu in the last 24 hours): Toffu replies normally, including reports, charts, and follow-ups. - **Outside the window**: Toffu can only send pre-approved templates. That's a Meta restriction, not a Toffu one. What this means in practice: - A scheduled task that finishes 36 hours after your last WhatsApp message will fall back to Slack or email instead of WhatsApp. - If you ask Toffu to "ping me on WhatsApp tomorrow morning" and you don't message it again before then, it can't. - The fix is simple: send any message to Toffu and the window resets for the next 24 hours. ## Common problems **"Toffu stopped replying to me on WhatsApp."** You're probably outside the 24-hour window and a template wasn't a fit. Send any message ("hi", a single emoji, anything) to reopen the window, then resend your request. **"Toffu sent me a report link instead of the answer."** Same root cause. Outside the window, Toffu can't send a long message, so it falls back to a link. Reopen the window and ask again to get the inline answer. **"My WhatsApp number changed."** Open **Settings** → user preferences modal → clear the old number → save. Then run the one-tap connect again from the new phone. **"Toffu replied to a stranger who messaged the number."** Unknown senders trigger the onboarding flow: Toffu asks for the email they signed up with, then sends a one-click linking email to verify. Nothing is linked until the email link is clicked. ## What WhatsApp can do that the web app can't Nothing functional. Same agent, same tools. This scope also powers reports, pipeline summaries, and any chat command that references existing Monday data. ### `boards:write` **What it allows:** Create and update boards, items, subitems, groups, columns, and column values. **Why Toffu needs it:** Toffu writes back results of its work - adding items for new blog posts, moving tasks between groups, updating status columns after a campaign ships, or setting due dates from a planning prompt. Without `boards:write`, Toffu can only read Monday and cannot turn conversations into tracked work. ### `users:read` **What it allows:** List users in the account and read their public profile fields (name, email, team, photo). **Why Toffu needs it:** Assigning an item to "Sarah" or filtering a report by owner requires resolving a name or @mention to a Monday user id. This scope also lets Toffu show readable owner names in generated reports instead of raw numeric ids. ### `me:read` **What it allows:** Read the connecting user's own profile - id, name, email, timezone, and account info. **Why Toffu needs it:** Toffu uses your identity to attribute items it creates to you, respect your timezone when setting due dates on scheduled tasks, and confirm which Monday account the token belongs to so we never write to the wrong workspace. ### `webhooks:write` **What it allows:** Register webhooks on boards so Monday can notify Toffu when items change. **Why Toffu needs it:** Proactive features (for example, "ping me in chat when a card moves to Done" or syncing Monday status into scheduled digests) depend on Toffu being told about changes instead of polling.
